# How to Export Your Rundown to PDF, Excel, or Print

> Export your Fabl rundown as a formatted PDF, an Excel spreadsheet, or a print-ready layout to share with your crew and stakeholders.

When it's time to get your rundown off-screen and into the hands of your crew, Fabl gives you three export formats to choose from: a formatted PDF for sharing digitally, an Excel spreadsheet for further editing or data processing, and a print-ready layout optimized for physical distribution on set. Every export reflects the rundown's current state at the moment you generate it.

## How to Export a Rundown

<Steps>
  <Step title="Open the rundown">
    Navigate to **Rundowns** in the sidebar and click the rundown you want to export.
  </Step>

  <Step title="Open the Export menu">
    Click the **Export** button in the top-right toolbar of the rundown editor. A panel will open with format options and customization settings.
  </Step>

  <Step title="Choose your fields">
    Before selecting a format, use the **Include fields** checklist to control which columns appear in your export. Available fields include:

    * Segment number
    * Segment title
    * Segment type
    * Duration
    * Running start time
    * Notes
    * Cue points
    * Linked shot list name

    Toggle off any fields your audience doesn't need. For example, you might exclude cue points for a stakeholder copy and include them only for the technical director's copy.
  </Step>

  <Step title="Select a format and export">
    Choose your desired format — **PDF**, **Excel**, or **Print** — and follow the format-specific steps below.

## Export Formats

<Tabs>
  <Tab title="PDF">
    PDF export produces a polished, formatted document suitable for emailing to stakeholders, uploading to a shared drive, or displaying on a tablet on set.

    **To export as PDF:**

    1. In the Export panel, select **PDF**.
    2. Choose a **page size** — Letter (8.5×11") or A4.
    3. Select an **orientation** — Portrait or Landscape. Landscape works better for rundowns with many columns; Portrait suits simpler rundowns.
    4. Toggle **Include cover page** on or off. The cover page displays the show name, date, target duration, and an export timestamp.
    5. Click **Export as PDF**. Fabl generates the file and downloads it to your browser automatically.

    <Tip>
      Portrait PDFs with fewer than six columns print cleanly on standard office printers. If your rundown has many columns, switch to Landscape or reduce the included fields before exporting.
    </Tip>
  </Tab>

  <Tab title="Excel">
    Excel export produces an `.xlsx` file with one row per segment, making it easy to sort, filter, or integrate with other production tools and spreadsheets.

    **To export as Excel:**

    1. In the Export panel, select **Excel**.
    2. Choose whether to include a **summary row** at the top of the sheet (show name, date, target duration, and total running time).
    3. Toggle **Freeze header row** on if you want the column headers to remain visible when scrolling through a long rundown in Excel.
    4. Click **Export as Excel**. Fabl downloads an `.xlsx` file to your browser.

    <Info>
      Each segment type is preserved as a text value in the **Type** column of the Excel file, so you can filter or group by segment type directly in Excel without any reformatting.
    </Info>
  </Tab>

  <Tab title="Print">
    Print export opens a browser print dialog with a layout optimized for physical paper — larger type, high-contrast segment type labels, and condensed spacing to fit more segments per page.

    **To export for print:**

    1. In the Export panel, select **Print**.
    2. Choose a **font size** — Standard (10pt) or Large (12pt). Large is recommended for set use where crew may be reading at a distance.
    3. Toggle **Color-code segment types** on to preserve the segment type colors in the printed output (requires a color printer), or off for a clean black-and-white layout.
    4. Click **Open Print Dialog**. Your browser's print interface will open with the optimized rundown layout pre-loaded.
    5. Select your printer, confirm page settings, and click **Print**.

    <Note>
      Print export uses your browser's native print functionality. For the most consistent results, use Google Chrome or Microsoft Edge and set margins to **None** or **Minimum** in the print dialog.
    </Note>
  </Tab>

## Share Your Exported File

After downloading a PDF or Excel file, you can share it through any channel your team uses — email, Slack, Google Drive, Dropbox, or a production management tool. For the most up-to-date version, share a link to the live rundown in Fabl instead of a static export whenever possible, so your team always sees the latest changes without needing a new file.
